Terms and Conditions

Introduction
Welcome to “Japan Gates”. These Terms and Conditions (“Terms”) form a legally binding agreement between you (“the Client,” “you”) and Japan Gates (“the Company,” “we,” “us,” “our”). Please read these Terms carefully before booking any of our tours or services. By completing a booking, you acknowledge that you have read, understood, and agree to be bound by these Terms.

1. Booking and Confirmation
1.1. All booking requests are to be made through our official website or via official email correspondence.
1.2. A booking is considered provisional and unconfirmed until the required deposit has been received and a written booking confirmation has been issued by “Japan Gates”.
1.3. The Client is responsible for providing accurate and complete information for all travelers in the booking, including full names as they appear on passports, dates of birth, and any special requirements. The Company is not liable for any issues arising from incorrect information provided by the Client.

2. Payment
2.1. The payment policy, including deposit amounts and final balance due dates, will be clearly outlined in the pro-forma invoice sent to the Client.
2.2. All payments must be made by the specified due dates. The Company reserves the right to cancel a booking, with no refund of payments made, if payment deadlines are not met.
2.3. All quoted prices are subject to change without prior notice until the booking has been fully confirmed.

3. Cancellation and Amendment Policy
3.1. Cancellation by the Client:

  • All cancellation requests must be submitted in writing via the Company’s official email.

  • The following cancellation fees will apply, based on the date the cancellation notice is received:

    • 60 days or more before the tour start date: Full refund of the amount paid, less any non-refundable costs (e.g., flights or hotel bookings made on your behalf) and an administrative fee of [Example: $100 USD] per person.

    • Between 30 and 59 days before the tour start date: Forfeiture of 50% of the total tour cost.

    • Less than 30 days before the tour start date: Forfeiture of 100% of the total tour cost (no refund).

  • Failure to show up for a tour (“no-show”) is considered a full cancellation and is not eligible for any refund.

3.2. Cancellation by the Company:

  • “Japan Gates” reserves the right to cancel any tour for any reason, including failure to meet the minimum number of participants or due to Force Majeure events.

  • In the event of a cancellation by us, the Client will be offered the choice of:

    • (a) A full refund of all monies paid to the Company.

    • (b) Applying the paid amount as credit towards a future tour.

  • The Company is not responsible for any additional expenses incurred by the Client as a result of the cancellation, such as international airfare or visa fees.

3.3. Itinerary Amendments:

  • Japan is a country where unforeseen circumstances (e.g., weather) can occur. The Company reserves the right to make necessary modifications to the tour itinerary to ensure the safety and comfort of our clients. Every effort will be made to provide alternatives of equal or greater value.

4. Travel Documents, Visas, and Insurance
4.1. The Client is solely responsible for having a valid passport (valid for at least 6 months beyond the return date) and for obtaining all necessary visas for entry into Japan.
4.2. We strongly recommend all clients purchase comprehensive travel insurance that covers cancellation, medical emergencies, loss of baggage, and other potential risks. “Japan Gates” does not provide travel insurance.

5. Liability
5.1. “Japan Gates” acts as an agent for local service providers such as hotels, transportation companies, and guides. We are not responsible for any act, omission, or default on the part of these third parties.
5.2. Participation in tours may involve inherent risks. By booking, the Client acknowledges and accepts these risks and releases the Company and its employees from any liability for personal injury, illness, damage, or loss that may occur.

6. Governing Law
These Terms and Conditions shall be governed by and construed in accordance with the laws of Japan. Any dispute arising from these Terms shall be subject to the exclusive jurisdiction of the courts in [Enter City, e.g., Tokyo], Japan.
